Licences

Users need a Licence to a product in order to be assigned any courses. When you buy a product for eg. 40 trainees for the year, a licence with 40 uses will be created for you. You can then assign licences to users directly, or via their groups.

A licence generally expires at the end of the year. 

How do I see what licences I have available?

In Edit mode, go to Products on the left hand side. Then go to the Licences tab. A list of your organisation's licences will be shown.

For each licence you can see:

  • The number total number of uses and how many have been used so far
  • The Product that the licence is for
  • When the licence expires

How do I change or edit a licence?

Changing or editing a licence is not possible with usual admin permissions. Please contact NASBTT or Anspear to make changes to licence numbers or expiry dates. This may involve an additional purchase.

How do users get a licence?

Users get a licence either by being assigned it directly by an administrator, or by joining a group that has the licence assigned.

If you invite your trainees to register themselves and enter an access code at registration, their licence will be assigned automatically via their group.

Assign a licence directly to a user

To assign a licence directly to a user(s), select the user(s) and on the right hand side click + next to Licences. Select from available licences and click Add. If there are no licences to add then all your available licences have been used up.

Adding a licence will add all the courses in the product library (eg all trainee modules). If you only want the user to have particular modules you can remove them after the licence is assigned.

Assign a licence to a group

To assign a licence to the group, enter the group and go to the Courses tab. On the right hand side click + next to Licences. Select from available licences. 

Now you have a choice:

  • Assign all courses now: this option means that all the courses in the product library will be added to all the group's members and all users who join the group in future (if you have enough licence uses).
  • Choose courses myself: this option will not add any courses to the group or its member immediately. Instead, you can choose the courses you want the group to focus on and add them to the group yourself. All present and future group members will be assigned the courses you choose.

When you have chosen your licence and assignment option, click Add.

Join a group with a licence

When a user joins a group with a licence assigned, they will automatically the a licence if they don't have it already. They will get the group's courses as well.

Users can be added to a group manually by an administrator, or created by an administrator inside the group.

Licence codes

Users can also join a group by entering a group 'Licence code' when they register an account. This is the code(s) that you may have been given at the start of the year for you to hand out to trainees with instructions on how to register on NASBTT Learn.

To retrieve the licence code for a group, enter the group and go to Access on the right hand side. There are two codes:

  • Learner code: users entering the code join the group as a learner, picking up any licences assigned to the group
  • Tutor code: users entering the code join the group as a tutor

It may have been agreed with your organisation that (some) tutors can access the modules materials free of charge, purely to help with their tutoring. If this is the case, tutors joining the group will not get the modules automatically. They will have to be assigned separately by Anspear or NASBTT.
